What is a Notion template? A plain explanation with examples

A Notion template is a pre-built page — usually a set of linked databases and views — that you copy into your own workspace and start using. Nothing is installed; you duplicate a page, and it becomes yours to edit.

1. What you are actually getting

Pages, databases, properties, filtered views, and sometimes formulas and relations wired together. When you duplicate, all of that lands in your sidebar as an ordinary page you can rename, restructure or delete. Nothing connects back to the seller and nothing expires.

2. How duplicating works

The seller publishes a page with duplication enabled and gives you the link. You open it, choose Duplicate, and pick a destination in your workspace. Sample rows come along, so you can see how each view behaves before replacing them with your own data.

3. What separates a good template from a bad one

Good ones do one job, open with a short setup page, use plain property names, and include example data. Bad ones are sprawling dashboards with empty databases and clever formulas nobody can maintain. If you cannot understand a template in five minutes, it will not survive your second week.

4. When to buy versus build

Buy when the structure is the hard part — a CRM, a content calendar, a project tracker with dependencies. Build when your workflow is genuinely unusual, or when the template you found needs so much rewiring that you are effectively building anyway.

FAQ

What is a Notion template used for?
Skipping setup. It gives you a working structure — databases, views and pages — for a specific job like planning content or tracking clients.
Are Notion templates free?
Many are, including Notion's own gallery. Paid templates typically offer deeper systems, sample data, setup guides and updates.
How do I open a Notion template?
Open the shared link and choose Duplicate, then select the workspace or page where you want the copy to live.
Can I edit a template after duplicating it?
Yes. The copy is a normal page in your workspace — rename it, change properties, add views or delete anything you do not need.
